Confirming a Payment from the Buyer

  • To do this, click on “Sales” at the left side of the page and look for “Invoices” 

  • Once you open the invoices page, look for the Invoice related to the item purchased and click on the Invoice ID 

  • On the upper part corner of the page, click for “Record a Payment”

  • On the Record a Payment page, you will be asked to provide the following information:

    • Date Paid

    • Payment Method

    • Bank

    • Reference ID

    • Currency

    • Amount Paid

    • Notes (if applicable)

    • Upload Proof of Payment 


At the latter part of the page, it will ask you as well to confirm that you have verified the payment made. The payment could be partial or full, depending on the agreed Terms.



If it is fully paid, it will be marked as “Paid” in the records as shown in this screenshot below:


 



If it is partially paid, it will be marked as “Partially Paid” in the records as shown in this screenshot below:


 

Any unpaid invoice will look like this in the system:


 




As for the actions offline that are related to the steps previously, please refer to the following information:

  1. (Offline) Once the supplier accepts the Sales Order (SO), the Supplier fulfills the order request

  2. (Offline) The Buyer coordinates with the Supplier about the payment terms and delivery of the products

  3. (Offline/Online) Buyer pays according to terms agreed

  4. The Supplier creates an Invoice for the Sales Order (this is done via Quotable platform)

  5. System sends email notification of the Invoice to the Buyer

  6. The Buyer pays for the Invoice

The Supplier will need to verify if the payment has been made and received from their end successfully. Once this is verified, the supplier updates Invoice status in the Quotable platform (whether it’s a full payment or partial payment).
